Our commitment to your privacy
Fixacar Automotive Services Pty Ltd ('Fixacar', 'we', 'us', or 'our') is committed to protecting your personal information in accordance with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information when you visit our website, use our online booking system, or interact with our AI chat assistant (Finn). It does not apply to our internal staff portal, which is governed by separate confidentiality obligations.
1. Information we collect
- Booking system - When you book a service online, we collect your name, email address, phone number, vehicle details (make, model, year, registration), preferred store location, and service type. This information is necessary to confirm and manage your booking.
- AI chat assistant (Finn) - When you interact with Finn, our AI-powered chat assistant, your messages and any personal details you provide (such as your name, contact information, or vehicle details) are processed to respond to your enquiry and, where requested, to create a booking on your behalf. Chat sessions may be reviewed for quality assurance and to improve Finn's responses.
- Website usage data - We may collect non-personally identifiable information about how you use our website, including pages visited, time spent on site, browser type, device type, and referring URL. This is collected through cookies and third-party analytics tools.
- Contact and enquiries - If you contact us directly via phone, email, or our website, we collect the information you provide, including your name, contact details, and the content of your message.
2. How we use your information
- To confirm, manage, and fulfil your service bookings.
- To send you booking confirmation and reminder emails, and post-service follow-up notifications.
- To respond to your enquiries and provide customer support.
- To improve our website, services, and customer experience.
- To comply with our legal obligations.
3. Email notifications
When you make a booking through our website or via Finn, you will receive automated email notifications including a booking confirmation and, where applicable, reminders or updates. These emails are sent using a third-party email delivery service. Your email address is used solely for transactional communications related to your booking and is not used for marketing purposes without your separate consent.
4. Opting out of communications
You may opt out of receiving communications from us at any time. To unsubscribe from emails or other marketing communications, please visit our unsubscribe page or contact us directly using the details below. Please note that opting out of marketing communications will not affect transactional emails directly related to a booking you have made (such as booking confirmations).
5. Google Maps
Our website uses Google Maps to display our store locations and provide directions. When you interact with the map on our site, Google may collect information about your device and location in accordance with Google's own Privacy Policy. We encourage you to review Google's Privacy Policy at policies.google.com/privacy. We use Google Maps solely to help you find our stores and do not receive any personal data from Google Maps on your behalf.
6. Cookies and analytics
Our website uses cookies - small text files stored on your device - to improve your browsing experience and analyse site usage. We may use third-party analytics tools (such as Google Analytics) to understand how visitors interact with our website. These tools collect anonymised data including pages viewed, session duration, and general location. You can control or disable cookies through your browser settings; however, doing so may affect the functionality of our website. By continuing to use our website, you consent to our use of cookies as described in this policy.
7. Data transmission and storage
Your personal information is transmitted over the internet using industry-standard encryption (HTTPS/TLS). Data submitted through our website, booking system, and AI chat assistant passes through our servers and may also be processed by trusted third-party service providers (including cloud hosting, email delivery, and AI processing services). These providers are required to handle your data securely and in accordance with applicable privacy laws. While we take all reasonable steps to protect your information, no method of transmission over the internet is completely secure.
8. Staff portal confidentiality
Our internal staff portal is accessible only to authorised Fixacar employees and is protected by authentication controls. Information held within the staff portal - including operational data, cost structures, and staff records - is strictly confidential and is not accessible to the public. Staff members are bound by confidentiality obligations regarding all information accessed through the portal.
9. Disclosure of your information
We do not sell, trade, or rent your personal information to third parties. We may disclose your information to trusted service providers who assist us in operating our website and delivering our services (such as email delivery providers and cloud hosting services), where required by law or a court order, or to protect the rights, property, or safety of Fixacar, our customers, or others.
10. Access and correction
Under the Australian Privacy Act 1988, you have the right to request access to the personal information we hold about you, and to request corrections if that information is inaccurate, incomplete, or out of date. To make a request, please contact us using the details below. We will respond within a reasonable timeframe and in accordance with our obligations under the APPs.
11. Complaints
If you believe we have breached the Australian Privacy Principles, you may lodge a complaint with us directly. We will investigate your complaint and respond within 30 days. If you are not satisfied with our response, you may escalate your complaint to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
